Based in Gilbert, ArizonaAbout Phantom Labs

We build it.
We run it.

Phantom Labs is a small growth studio in Gilbert, Arizona. We help ecommerce brands and local service businesses with the marketing and websites they rely on every day.

That means planning campaigns, designing emails, writing copy, building websites, and staying involved after the work goes live. We get to know the businesses we work with and take responsibility for what we put out.

Know the business.

We learn what our clients sell, who they’re trying to reach, and what’s getting in the way. That context shapes the work.

Make it work together.

An ad, an email, and a product page should feel like they came from the same business. Design, copy, and development all have a part in that.

Stay with the work.

We check what goes live, pay attention to how it performs, and make changes when something needs fixing.

What you’ll work on

  • Around 80% ecommerce email design, with no HTML or coding required.
  • An expected 20–35 emails per month to start, with room to grow.
  • A proposed retainer of 25 emails plus 10 hours of other design work, reviewed after 90 days.

What you’ll bring

  • A strong portfolio of ecommerce emails that have actually shipped.
  • Figma for core digital work, with edit access for our team and clean, Klaviyo-ready exports.
  • Reliable overlap with U.S. business hours and capacity for an ongoing account.

What to send3–5 ecommerce email samples, a few examples showing range, proposed retainer and overage rates, and your availability. Applications without email samples won’t be reviewed.

Phantom Labs is a hands-on growth studio for ecommerce and local service businesses. We don’t just plan the marketing. We build it and run it. Right now that means a lot of email, plus the social, ad, web, and print work that orbits it. We’re looking for a designer we can hand a finished brief to and trust to bring it back better than we pictured.

This is an ongoing monthly retainer, starting immediately. It’s built to grow with us.

What you’ll be doing

Most of the work (around 80%) is image-based marketing emails. You’ll design campaign and flow emails for our ecommerce brands, primarily one in performance automotive and one in beauty. Every brief arrives complete with copy, goal, offer, and brand assets. Your job is layout, hierarchy, typography, and making it something worth the click.

  • We expect to start around 20–35 emails per month, with volume likely growing toward 40–50 per month as the relationship expands.
  • Briefs are generally delivered in monthly batches, with approximately 1–2 weeks minimum to complete each batch.
  • Every email is fully image-based, so no HTML or coding.

The other 20% is miscellaneous work, including: social and ad graphics (mostly repurposed from the emails), the occasional one-off email for our service-based clients, and the occasional web asset or print project. Other one-off design needs that inevitably appear when you’re working with several growing brands.

We’d like to build a small bank of design hours into the monthly retainer (targeting 10 hours/month to start) specifically for this work rather than quote every little request separately.

What we’re looking for

First and foremost, you need to be very good at ecommerce email design.

Because these are image-based emails, typography, hierarchy, spacing, composition, and mobile readability matter a lot.

We’re looking for someone who:

  • Has a strong portfolio of real ecommerce marketing emails that have actually shipped
  • Has excellent typography and visual hierarchy
  • Can design across dramatically different brand aesthetics
  • Can take a thorough brief and work independently from it
  • Understands that marketing design has a job to do beyond looking pretty
  • Keeps extremely organized Figma files
  • Has experience creating social/ad graphics
  • Has at least some web and/or print design work to show
  • Can reliably overlap with U.S. business hours
  • Has the capacity for Phantom Labs to be a meaningful, priority client rather than something squeezed into whatever time is left over
  • Nice to have: Klaviyo experience, GIF or light motion work.

Years of experience matter considerably less to us than the quality of your work, reliability, and ability to understand a brand.

Non-negotiables

Our core digital work needs to be designed in Figma.

That includes emails, social graphics, paid ad creative, web assets, and the bulk of the recurring work you’ll be doing with us. Phantom Labs must have edit access to those working files.

This isn’t because we want to redesign your work behind you. It’s because if someone catches a typo five minutes before an email is scheduled, we need to be able to fix it rather than wait for a designer to come online.

For occasional print projects, we’re flexible. If Illustrator, InDesign, or another professional design tool makes more sense for the project, that’s completely fine. We just need the final working/source files to be organized and accessible to our team.

You’ll also need to:

  • Deliver clean, Klaviyo-ready exports
  • Work from briefs managed in ClickUp
  • Communicate through Slack and/or email
  • Keep files and components organized enough that someone besides you can understand them
  • Hit agreed deadlines consistently

Our clients move quickly, and our timelines are real. If you regularly take on more work than you can reasonably deliver or deadlines tend to be aspirational, this probably isn’t the right fit.

On the flip side, we try very hard not to manufacture emergencies. Most email work is batched and assigned well in advance, briefs are complete, and you should have what you need to actually do the work.

How we’d like to structure the retainer

We’re looking for an ongoing relationship rather than paying project-by-project.

Our starting structure will likely look something like:

Monthly retainer

  • Approximately 25 email designs
  • Approximately 10 hours of additional design capacity for social, ads, web, print, and miscellaneous projects

Beyond the retainer

  • Additional emails billed at an agreed per-email rate
  • Additional miscellaneous work billed at an agreed hourly rate
  • Anything expected to take more than 5 hours will be quoted as a fixed project before work begins
  • Unused miscellaneous hours can roll over for one month

We’ll revisit the structure after the first 90 days once we have real-world data on volume, workload, and how we’re working together. If the relationship is going well and volume continues to grow, we’d rather resize the retainer appropriately than nickel-and-dime each other every month.

This is an independent contractor relationship, not a full-time employee position. You’re welcome to work with other clients. We simply need someone with enough ongoing capacity to reliably support ours.

How to apply

If you’re interested, please send us the following through the form below:

  1. 3–5 of your strongest ecommerce marketing email samples
Ideally finished campaigns, not just templates or concepts.
  2. A few examples that show range
Social/ad creative plus web and/or print work would be helpful.
  3. Your proposed monthly retainer rate for:
    1. 25 marketing emails
    2. 10 hours of miscellaneous design work
  4. Your overage rates for:
    1. Each additional email
    2. Each additional design hour
  5. A little about your current availability
Including your general working hours/time zone and whether you have capacity for an ongoing account of this size.

A portfolio link is perfect. Please make sure the email work is easy to find.

Applications without email samples won’t be reviewed.

Contract to Hire | Remote | Arizona-based candidates preferred

Phantom Labs is a hands-on growth studio based in Gilbert, Arizona. We work with ecommerce brands and local service businesses across email, social, paid ads, SEO, websites, and the million little things that connect all of those channels.

We’re looking for a Marketing Coordinator who can help keep the day-to-day work moving now and grow into a much bigger role over time.

This is a remote role. We prefer Arizona-based candidates, but we’re flexible on location for the right fit. If you’re local, occasional content shoots and in-person meetings may be part of the role.

What you’ll be doing

You’ll work across multiple client accounts and touch a little bit of everything.

Early on, the role will lean heavily toward execution and coordination. As you learn the accounts and earn trust, you’ll take on more writing, decision-making, client communication, and eventually ownership of lower-touch accounts.

The work includes:

  • Scheduling and publishing social content
  • Setting up finished image-based emails in Klaviyo and QAing campaigns before they send
  • Turning marketing calendars into clear briefs for our graphic designer
  • Assisting with drafting social, email, website, ad, and other client-facing copy as you learn each brand’s voice
  • Monitoring Google Business Profile reviews and drafting replies
  • Handling weekly Google Ads and Meta housekeeping like search terms, negatives, pacing, and ad copy variations
  • Publishing content in Shopify, Magento, WordPress, and other CMS platforms
  • Keeping ClickUp, deadlines, agendas, and follow-ups organized and accurate
  • Helping coordinate content shoots, with in-person attendance if you’re local
  • Over time, communicating directly with clients and owning more of the day-to-day work for select accounts

Some of it is creative. Some of it is analytical. Some of it is just making sure the right thing happens at the right time. And some of it is decidedly unglamorous.

Who we’re looking for

You have at least a year of experience in a marketing coordinator, social media, agency support, or similar hands-on role.

More importantly, you’re:

  • Organized, reliable, and very detail-oriented
  • A strong writer who can learn and match different brand voices
  • Resourceful and good at figuring things out
  • Comfortable working across industries you may know nothing about on day one
  • Willing to investigate before escalating every question
  • Able to use the resources around you to get from “I don’t know” to “I understand enough to do this well”
  • Comfortable using AI every day for research, drafting, and problem-solving without blindly trusting the output
  • Able to recognize when AI-generated copy, research, or reporting is wrong, generic, or just doesn’t make sense
  • Someone who wants more responsibility and is willing to earn it by being dependable with the work in front of you

We don’t expect you to be an expert in every client’s industry. We aren’t either.

What we do expect is that if you’re asked to market something unfamiliar, you’ll dig into the product pages, previous campaigns, client notes, available research, AI, and whatever other resources you have before throwing your hands up.

We like questions. We especially like questions that come after you’ve already tried to find the answer.

Non-negotiables

You need real, hands-on marketing experience.
We’re not looking for someone starting from zero or someone whose experience has only been casually posting to a social account here and there. You should already understand what it’s like to work against a calendar, follow a brief, manage deadlines, publish client-facing work, catch mistakes, and be accountable for the quality of what goes out. We can teach you our clients, processes, and tools. We should not need to teach you the basics of doing professional marketing work.

You need the capacity to actually deliver on this engagement.
We are expecting the workload to run roughly 25-30 hours per week. How you schedule that time is up to you, apart from pre-scheduled client meetings and any agreed local shoots. You’re welcome to keep other clients, but this needs to be work you can reliably turn around on the timelines we agree to, not something that gets pushed to the margins. If both sides want to continue after the initial term, we intend to offer a full-time W-2 role, so we’re looking for someone who would want that.

You need to be a problem solver.
We don’t expect you to know everything. We do expect you to look for the answer, use good judgment, and come back with either a solution or a much better question.

How we’d like to structure this

This begins as a 3-month independent contractor engagement, invoiced once monthly at an agreed rate, with an expected workload of about 25-30 hours per week. You’ll work from your own equipment, set your own hours outside scheduled meetings and any agreed local shoots, and be responsible for your own taxes. If it’s a strong fit on both sides at the end of the term, we intend to expand and bring the role in-house as a full-time W-2.

Tools you’ll use

Sprout Social · Klaviyo · ClickUp · Canva · Figma · Shopify · Magento · Google Business · Google Ads · Meta Ads Manager · GA4 · FloDesk

How to apply

If you’re interested, please send us the following through the form below:

  1. Your resume
  2. Two or three examples of published marketing work you’ve contributed to
  3. A few sentences about why this role interests you and where you’d ideally like it to take you

You do not need to write us a cover letter. Please don’t waste resources and make ChatGPT write one either. We’d much rather hear a few actual sentences from you.

Contractor | Remote | Arizona-based candidates preferred

Phantom Labs is a growth studio in Gilbert, Arizona, working hands-on with ecommerce brands and local service businesses across email, social, paid ads, SEO, websites, and everything in between.

We need someone who can build an engaging social media content calendar and execute it across several client accounts - each with its own voice, audience, and goals.

This role is remote. We lean toward Arizona-based candidates, but the right person elsewhere is worth the flexibility. If you’re local, expect to occasionally join a content shoot.

What you’ll be doing

This is a hands-on seat. You’ll touch nearly every step of the content lifecycle from raw footage and a content idea to a published post across a handful of accounts, each of which needs something different from you.

  • Scheduling and publishing content across social platforms, adapting format and specs for each one
  • Editing short-form video using raw footage provided by the brand - trimming, adding audio, captions, on-screen text, and a cover that earns the click
  • Creating carousels, static posts, and Pinterest pins in Canva (or similar) using a combination of client assets, stock images, and original design work
  • Writing captions and platform copy in each brand’s voice, from Instagram captions to TikTok hooks to Pinterest pin descriptions
  • Posting natively to platforms as needed (e.g., story posts with links, adding audio to carousels)
  • Maintaining the content calendar with deadlines, approvals, and revision notes
  • Researching trending content, audio, and formats, and keeping a pulse on what’s actually resonating with each client’s audience, not just what’s trending everywhere else
  • Monitoring comments, DMs, and mentions across platforms, responding where it fits the brand voice, and flagging anything bigger for the client
  • Supporting influencer and creator partnerships where clients use them by coordinating deliverables, usage rights, and posting timelines
  • Tracking performance metrics (views, saves, engagement) using native platform insights, and keeping an eye on what’s working
  • Organizing and archiving raw footage and finished assets in Google Drive so nothing gets lost and everything’s easy for the team to find
  • Coordinating and supporting content shoots, with in-person attendance if you’re local
  • Collaborating with the internal team on approvals and creative direction

This list flexes depending on the week and the account. What doesn’t flex is the standard: whatever goes out under a client’s name should look like someone who actually cared made it.

You won’t do all of this perfectly on day one, and we don’t expect you to. What we’re looking for is someone who’s willing to get better at this list every month.

Who we’re looking for

At least 3 years of hands-on experience creating and publishing social content professionally.

More importantly, you:

  • Stay organized and catch details other people miss
  • Write well enough to pick up a brand voice quickly
  • Figure things out instead of getting stuck
  • Don’t need an industry expert to hand you every answer
  • Come to us with questions after you’ve already taken a swing at the answer yourself
  • Lean on AI for research and drafting support, not as your content pipeline
  • Want more responsibility and are willing to earn it

We’d rather hire someone slightly underqualified with good instincts than someone perfectly qualified who needs constant direction. If the idea of figuring things out on your own sounds exciting rather than terrifying, you’ll like it here.

Non-negotiables

You genuinely love social media.
Chronically online? That’s good news for us. You should be on top of what’s currently resonating on social, and know how to translate that into content that actually fits our clients’ channels.

You have real experience, not just enthusiasm.
You should already know what it’s like to work off a calendar, hit a publish deadline, take feedback, quickly pivot, and be accountable for what goes out under a client’s name. We’ll teach you our accounts. We shouldn’t have to teach you the basics of social media for businesses.

You have a good eye for visuals.
Creative design and storytelling come naturally to you, and you can tell the difference between work that’s thoughtfully crafted and work that’s just quickly generated. You are equally comfortable with creating graphics as you are editing short-form video, and know how to adapt visual direction for each unique brand.

You have the bandwidth to show up and execute.
We’re planning on 10-20 hours a week. You will have the flexibility to use that time however works for you, minus scheduled calls and any shoots we’ve locked in. Keeping other clients is fine, as long as this work never slides.

A problem-solving streak.
None of us is an expert in every client’s industry. What we expect is that you dig into what’s already there (past content, performance data, client materials) and take a swing at an answer yourself before coming to us with a question.

How we’d like to structure this

This is an ongoing part-time contractor role. No set end date, invoiced monthly, roughly 10-20 hours a week. Use your own equipment, set your own hours around standing meetings and agreed shoots, and handle your own taxes as an independent contractor.

Tools you’ll use

Sprout Social · ClickUp · Canva · CapCut (or your video editor of choice) · Photoshop (or other photo editing tool of choice) · Google Drive · Meta Business Suite · Instagram · Facebook · TikTok · YouTube · Pinterest

How to apply

Send us:

  1. Your resume
  2. A short note on why this role caught your attention
  3. 2-3 examples of published short-form video content you’ve created for brands
  4. 2-3 examples of published graphic content you’ve created for brands (carousel or static posts)
  5. 1-2 brand accounts you think are doing well with their social media strategy, with a brief description of why they stand out to you.
  6. 1-2 recent trends on social media that you have personally enjoyed or resonated with, whether it was for entertainment, inspiration, or education.

No cover letter needed. If you’re tempted to have AI draft one anyway, don’t - a few real sentences are worth more to us than a polished one.
