Phantom Labs is a hands-on growth studio for ecommerce and local service businesses. We don’t just plan the marketing. We build it and run it. Right now that means a lot of email, plus the social, ad, web, and print work that orbits it. We’re looking for a designer we can hand a finished brief to and trust to bring it back better than we pictured.

This is an ongoing monthly retainer, starting immediately. It’s built to grow with us.

What you’ll be doing

Most of the work (around 80%) is image-based marketing emails. You’ll design campaign and flow emails for our ecommerce brands, primarily one in performance automotive and one in beauty. Every brief arrives complete with copy, goal, offer, and brand assets. Your job is layout, hierarchy, typography, and making it something worth the click.

  • We expect to start around 20–35 emails per month, with volume likely growing toward 40–50 per month as the relationship expands.
  • Briefs are generally delivered in monthly batches, with approximately 1–2 weeks minimum to complete each batch.
  • Every email is fully image-based, so no HTML or coding.

The other 20% is miscellaneous work, including: social and ad graphics (mostly repurposed from the emails), the occasional one-off email for our service-based clients, and the occasional web asset or print project. Other one-off design needs that inevitably appear when you’re working with several growing brands.

We’d like to build a small bank of design hours into the monthly retainer (targeting 10 hours/month to start) specifically for this work rather than quote every little request separately.

What we’re looking for

First and foremost, you need to be very good at ecommerce email design.

Because these are image-based emails, typography, hierarchy, spacing, composition, and mobile readability matter a lot.

We’re looking for someone who:

  • Has a strong portfolio of real ecommerce marketing emails that have actually shipped
  • Has excellent typography and visual hierarchy
  • Can design across dramatically different brand aesthetics
  • Can take a thorough brief and work independently from it
  • Understands that marketing design has a job to do beyond looking pretty
  • Keeps extremely organized Figma files
  • Has experience creating social/ad graphics
  • Has at least some web and/or print design work to show
  • Can reliably overlap with U.S. business hours
  • Has the capacity for Phantom Labs to be a meaningful, priority client rather than something squeezed into whatever time is left over
  • Nice to have: Klaviyo experience, GIF or light motion work.

Years of experience matter considerably less to us than the quality of your work, reliability, and ability to understand a brand.

Non-negotiables

Our core digital work needs to be designed in Figma.

That includes emails, social graphics, paid ad creative, web assets, and the bulk of the recurring work you’ll be doing with us. Phantom Labs must have edit access to those working files.

This isn’t because we want to redesign your work behind you. It’s because if someone catches a typo five minutes before an email is scheduled, we need to be able to fix it rather than wait for a designer to come online.

For occasional print projects, we’re flexible. If Illustrator, InDesign, or another professional design tool makes more sense for the project, that’s completely fine. We just need the final working/source files to be organized and accessible to our team.

You’ll also need to:

  • Deliver clean, Klaviyo-ready exports
  • Work from briefs managed in ClickUp
  • Communicate through Slack and/or email
  • Keep files and components organized enough that someone besides you can understand them
  • Hit agreed deadlines consistently

Our clients move quickly, and our timelines are real. If you regularly take on more work than you can reasonably deliver or deadlines tend to be aspirational, this probably isn’t the right fit.

On the flip side, we try very hard not to manufacture emergencies. Most email work is batched and assigned well in advance, briefs are complete, and you should have what you need to actually do the work.

How we’d like to structure the retainer

We’re looking for an ongoing relationship rather than paying project-by-project.

Our starting structure will likely look something like:

Monthly retainer

  • Approximately 25 email designs
  • Approximately 10 hours of additional design capacity for social, ads, web, print, and miscellaneous projects

Beyond the retainer

  • Additional emails billed at an agreed per-email rate
  • Additional miscellaneous work billed at an agreed hourly rate
  • Anything expected to take more than 5 hours will be quoted as a fixed project before work begins
  • Unused miscellaneous hours can roll over for one month

We’ll revisit the structure after the first 90 days once we have real-world data on volume, workload, and how we’re working together. If the relationship is going well and volume continues to grow, we’d rather resize the retainer appropriately than nickel-and-dime each other every month.

This is an independent contractor relationship, not a full-time employee position. You’re welcome to work with other clients. We simply need someone with enough ongoing capacity to reliably support ours.

Phantom Labs is a hands-on growth studio based in Gilbert, Arizona. We work with ecommerce brands and local service businesses across email, social, paid ads, SEO, websites, and the million little things that connect all of those channels.

We’re looking for a Marketing Coordinator who can help keep the day-to-day work moving now and grow into a much bigger role over time.

This is a mostly remote engagement, but you must live in the Phoenix metro area and be available for local content shoots and occasional in-person meetings.

What you’ll be doing

You’ll work across multiple client accounts and touch a little bit of everything.

Early on, the role will lean heavily toward execution and coordination. As you learn the accounts and earn trust, you’ll take on more writing, decision-making, client communication, and eventually ownership of lower-touch accounts.

The work includes:

  • Scheduling and publishing social content
  • Setting up finished image-based emails in Klaviyo and QAing campaigns before they send
  • Turning marketing calendars into clear briefs for our graphic designer
  • Assisting with drafting social, email, website, ad, and other client-facing copy as you learn each brand’s voice
  • Monitoring Google Business Profile reviews and drafting replies
  • Handling weekly Google Ads and Meta housekeeping like search terms, negatives, pacing, and ad copy variations
  • Publishing content in Shopify, Magento, WordPress, and other CMS platforms
  • Keeping ClickUp, deadlines, agendas, and follow-ups organized and accurate
  • Helping coordinate and attend local content shoots
  • Over time, communicating directly with clients and owning more of the day-to-day work for select accounts

Some of it is creative. Some of it is analytical. Some of it is just making sure the right thing happens at the right time. And some of it is decidedly unglamorous.

Who we’re looking for

You have at least a year of experience in a marketing coordinator, social media, agency support, or similar hands-on role.

More importantly, you’re:

  • Organized, reliable, and very detail-oriented
  • A strong writer who can learn and match different brand voices
  • Resourceful and good at figuring things out
  • Comfortable working across industries you may know nothing about on day one
  • Willing to investigate before escalating every question
  • Able to use the resources around you to get from “I don’t know” to “I understand enough to do this well”
  • Comfortable using AI every day for research, drafting, and problem-solving without blindly trusting the output
  • Able to recognize when AI-generated copy, research, or reporting is wrong, generic, or just doesn’t make sense
  • Someone who wants more responsibility and is willing to earn it by being dependable with the work in front of you

We don’t expect you to be an expert in every client’s industry. We aren’t either.

What we do expect is that if you’re asked to market something unfamiliar, you’ll dig into the product pages, previous campaigns, client notes, available research, AI, and whatever other resources you have before throwing your hands up.

We like questions. We especially like questions that come after you’ve already tried to find the answer.

Non-negotiables

You must live in the Phoenix metro area.
The work is mostly remote, but you’ll need to be available locally when needed.

You need real, hands-on marketing experience.
We’re not looking for someone starting from zero or someone whose experience has only been casually posting to a social account here and there. You should already understand what it’s like to work against a calendar, follow a brief, manage deadlines, publish client-facing work, catch mistakes, and be accountable for the quality of what goes out. We can teach you our clients, processes, and tools. We should not need to teach you the basics of doing professional marketing work.

You need the capacity to actually deliver on this engagement.
We are expecting the workload to run roughly 25-30 hours per week. How you schedule that time is up to you, apart from pre-scheduled content shoots and client meetings. You’re welcome to keep other clients, but this needs to be work you can reliably turn around on the timelines we agree to, not something that gets pushed to the margins. If both sides want to continue after the initial term, we intend to offer a full-time W-2 role, so we’re looking for someone who would want that.

You need to be a problem solver.
We don’t expect you to know everything. We do expect you to look for the answer, use good judgment, and come back with either a solution or a much better question.

How we’d like to structure this

This begins as a 3-month independent contractor engagement, invoiced once monthly at an agreed rate, with an expected workload of about 25-30 hours per week. You’ll work from your own equipment, set your own hours outside scheduled shoots and meetings, and be responsible for your own taxes. If it’s a strong fit on both sides at the end of the term, we intend to expand and bring the role in-house as a full-time W-2.
